POSITION SUMMARY

Impact Hub is looking for a Finance & Operations Support to join us as a member of our Finance global team. Temporary Contract for 12 months period, with 1 month probation and possibility for extension to a Permanent Contract based on good performance and company needs.

LOCATION

This remote position is open to applicants from all countries who are ready to work within European working hours, ideally in a location with a running Impact Hub.

Job Description

The Finance Operations Support will perform a variety of tasks in the financial unit and will report to the Finance Manager.   Finance operations coordination (0.5 FTE)
  • Check and read new emails; mark them according to instructions
  • Respond to daily emails (if the answer stays with this role, else redirect the email with the responsible person)
  • Verify the accuracy of invoices and other documents received via financial email inbox
  • Process documents such as invoices, employee reimbursements - ensuring their alignment to internal policies and processes and their appropriate registration with Zoho Books and our accounting system (DVO)
  • Sort out incoming and outgoing daily post and answer queries
  • Set up cost centers
  • Incoming German correspondence (including insurance; legal, etc.)
  • Investigate questionable data.
  • Compile data and prepare payment lists and documentation of them to submit to the external accountant (monthly) and other financial partners (i.e., Kiva) - (i.e., Credit cards, reimbursements; invoices supplier / customer; bank statements)
  • Support Finance Coordinator and Manager on projects & programs financial reporting & auditing tasks (i.e., prepare documentation, research auditors & get offers, communication with implementing Impact Hubs etc.).

Further background on team engagement and general administration

  • Attend regular finance & global team meetings (physical meetings, bi-weekly virtual meetings) and participate in relevant strategy workshops or network gatherings.
  • Actively engage and collaborate with the global team (Impact Hub GmbH) and external suppliers, if applicable.
  • Assist other units with ad-hoc tasks as applicable.

Candidate Profile

Are we a match?
  • You are fluent in German and English 
  • You have relevant work/study experience in one of more of the following areas: financial management, accounting, performance management, entrepreneurship & startup environment
  • You are organized, work precisely and are enthusiastic about improving systems and processes and can easily operate digital systems 
  • You are a good communicator with excellent written and verbal skills and able to work across cultural differences.
  • You are comfortable interacting with several stakeholders and able to work collaboratively within multidisciplinary and distributed teams.
  • You are open-minded, self-reliant, and excited about being part of a diverse, fast-paced, international environment.
  • You are able to demonstrate key components of the Impact Hub approach: entrepreneurship, collaboration, innovation and exceptional execution ability.

Contractual Agreement

  • Role:  Finance & Operations Support
  • Legal Form: Independent Contractor if outside of Austria or Germany, if in Europe, VAT registration required; employment, if based in Austria or Germany.
  • Reporting to: Finance Manager
  • Engagement: Part-time (20 hours/week-0.5 FTE) with flexible working schedule yet agreed core working hours. Overtime on a need basis, to be agreed with the Direct Manager and compensated on a 1:1 basis.
  • Contract length: Temporary Contract for 12 months period, with 1 month probation and possibility for extension to a Permanent Contract based on good performance and company needs.
  • Team engagement: Member of the Global Network Development Team dispersed across the globe but the majority of the global team is based in European timezones.
  • Location: Ideally Based in a location with a running Impact Hub and ready to work within European working hours. 
  • Remuneration: 1,250 Euros / calendar month (total cost to company as an independent contractor)  subject to Cost of Living Adjustments based on country of residence and seniority. 
  • Paid holidays: 25 days of paid time off annually and the local public holidays.
  • Allowances and other contributions: coverage of travel costs and allowance according to company policy, full coverage of costs to attend requested internal/external workshops, conferences, and events; 30 EUR monthly allowance for use of own equipment; membership and workplace at Impact Hub; other expenses (i.e., phone, etc.) on a needs basis; access to all company systems for work and communication.
