Impact Hub: Global Programmes Operational Support
Impact Hub Global is looking for a Global Programmes Operational Support to assist with administrative and operational tasks related to the delivery and implementation of the Bayer Foundation’s Women Entrepreneurs Award (WEA) programme. You will also support the Global Programmes team in managing and improving its programme operational systems.
The WEA programme is dedicated to supporting women who are pioneers in health, nutrition, and climate-smart solutions. In its second year, we aim to recognize 15 exceptional winners—five from each of the following regions: Africa and the Middle East, Latin America, and Asia Pacific. Each winner will receive cash recognition, an all-expenses-paid trip to the in-person award ceremony, and access to a six-month Accelerator Programme.
The successful candidate will report directly to the Programme Manager and collaborate closely with the Global Programmes Team. Preference will be given to applicants who are Makers or members of local Impact Hubs.

Job overview
As part of this evolution, we are now looking for an exceptional individual to join us as the Programmes Operational Support. In this role, you will be responsible for supporting operational tasks throughout the application, evaluation, and selection processes of the WEA programme, as well as managing travel arrangements and logistics. Additionally, you will contribute to the smooth operation and continuous improvement of our global programmes portfolio operations.

Job description
Key responsibilities
- Coordinating and executing administrative tasks for the application process, including preparing application forms, setting up the application funnel on Accelerator App, drafting guidelines, and managing onboarding procedures for the WEA programme, as well as other programmes if needed.
- Preparing presentation materials, scheduling calls, and liaising with speakers and trainers for the WEA programme.
- Supporting awardees with travel logistics, including conducting research on visa requirements and other travel needs for the WEA programme.
- Overseeing the program’s email inbox, addressing questions and concerns.
- Conducting regular data updates in Zoho Projects for the WEA programme and supporting other Programme Managers in performing these updates for their programmes. This includes checking if all tasks are updated with time logged from users, percentage of completion updated, and status updated, as well as updating expenditures and cash flow projections.
- Supporting the Global Programmes Portfolio Leads and the Global Finance Team in regularly cleaning up the Zoho Projects financial data, generating comprehensive reports, and conducting analyses to drive continuous improvement in our program portfolio management.
- Updating and improving training content (manuals, videos, etc.) on program management tools to give users confidence in knowing how to understand and perform policies, procedures, and processes. Additionally, provide support for onboarding Program Managers to these tools.
- Providing ongoing support to optimize operational tools, policies and procedures which improve program portfolio management, collaboration of stakeholders and reduce risk in manual processes and legal and regulatory requirements.

- You have experience with executing operational and administrative tasks, and have great organizational skills.
- You have strong analytical skills, are driven by innovation, are tech-savvy, and have a genuine passion for program and financial management.
- You are a collaborative team player who excels at building relationships with diverse stakeholders and working effectively within international, multidisciplinary, and distributed virtual teams.
- You are a good communicator with excellent written and verbal skills (fluent in English). Working knowledge of French, Spanish or Mandarin is an advantage.
- You have excellent user skills in Google Workspace (Docs, Sheets, Slides, Drive…) and have delivered projects with one of the widely used project management tools. Working knowledge with Zoho Projects and Accelerator App is an advantage.
- You have previous experience in understanding diverse market dynamics and can work across different cultures in a respectful way to the local reality.
- You are open-minded, self-reliant, and excited about being part of a diverse, fast-paced, international environment.

Contractual summary
- Role: Operational Support
- Legal Form: Independent Contractor
- Ideal Starting Date: January 2025
- Engagement: Part-time (0,5 FTE = 20 hours/week), with a flexible working schedule
- Contract length: 12-month contract period; 1 month probationary period.
- Location: Any Impact Hub city with close to GMT +/- 4 time zone
- Remuneration: 1,500 EUR monthly at 0.5 FTE capacity (total cost to company as an independent contractor) commensurate with past experience, and subject to Cost of Living Adjustments (COLA) based on number of hours, country of residence, seniority and experience.
- Reporting: Direct report to the WEA Programme Manager
- Citizenship/visa: Please note that Impact Hub will not be able to provide any visa process support. In case you live in a different country than your country of citizenship, you need to have an appropriate employment/independent contractor visa/permit for the respective country to be considered.
